When you send an e-mail, you usually have three fields to enter addresses: "To" (main recipients), "DW" (Copy), and "UDW" or "BCC" (Copy not visible to others).
If you add an e-mail address in the "UDW" or "BCC" field, the person whose address is entered there will receive a copy of the message, but other recipients (both in the "To" and "DW" fields) will not see the address. This is useful when you want to send a message to multiple people, but don't want them to see each other's email addresses.
By using UDW, you protect the privacy of the recipients, because none of them can see the email address of another. If you plan to send confidential information, you can enhance security with a few additional features.
Try to:
- establish such rules in your email system that will warn you that you are entering multiple recipients in the "DW" field;
- set a delay for sending an email (1 minute is enough) to allow correction of errors before sending the message;
- disable the autocomplete function so that the system does not suggest email addresses in the recipient field.
Errors in the use of the UDW function can be as undesirable as loud disturbances in a quiet space. Although UDW is a great tool for maintaining the privacy of addressees, it is worth considering additional precautions, especially when the correspondence contains sensitive information. Key strategies include establishing alerts for multiple recipients, adding a delay for corrections before sending, and disabling address autocompletion.
