GDPR and cybersecurity – challenges for the education and culture sector

GDPR in science, education and culture – questions and answers
How much do GDPR services cost for schools, higher education institutions and cultural institutions?
The cost depends on the type of institution, the volume of data processed and the organisational structure. We offer tailored packages for schools, higher education institutions, libraries, museums and community centres. We prepare individual quotations – taking into account the nature of public or statutory tasks.
What GDPR problems most commonly occur in this sector?
The most common issues are outdated consents from parents and class participants, lack of documentation for data processing entrustments to external companies, and disorganised archiving of documents. Problems also arise with processing images of children and event participants.
Does every school or educational institution have to have a Data Protection Officer (DPO)?
Yes – public entities have that obligation. For private entities, the decision depends on the scope and type of data, but in most cases we recommend appointing a Data Protection Officer (DPO) or outsourcing this role.
Which data are most sensitive in education and culture?
These include data of pupils, students and course participants, health data, medical certificates, disability data, as well as image data and information related to assessment of progress. There is also a high risk concerning data collected during recruitment and at open events.
Does the GDPR cover data processed in e-learning systems and registration platforms?
Yes – data in registration platforms, electronic register systems or e-learning are fully covered by the GDPR. Appropriate safeguards and proper legal bases for processing must be ensured.
Will the implementation of the GDPR disrupt teaching or cultural activities?
No – our activities are planned so as not to clash with the timetable of classes, events or administrative work. We operate flexibly, also remotely or outside working hours.
